It’s a good idea to have regular meetings (about once a week) to keep the group focused and keep up the team spirit!
At every meeting it is important to assign jobs to particular people; otherwise they will not get done. Email everyone after the meeting to remind them what jobs they have agreed to do.
Delegate one person to be responsible for each of the main areas. These might include:
fundraising
plenary sessions liaison
workshops coordinator (but do not have two people liaising with one speaker, so if someone is speaking at a plenary session and running a workshop, decide who will be their point of contact)
publicity
webmaster
social butterfly
accommodation & logistics
Communication between the group is really important, for example:
the person receiving application forms will need to communicate the information about dietary requirements to the relevant people
accommodation person needs to work closely with person receiving the online registration forms
Be careful that outside parties are not receiving duplicates of information/no information as a result of poor communication within the group- as a general rule, one organisation = one committee member communicating with them.
